Using the web app

Five tools, one URL.

Open 4030.analyticgator.ai when you want to type instead of text, scan recent records visually, or (coordinators only) add new family members. Sign in once with your email, no password.

The web doesn't use passwords — Alfonso registers your email once, and from then on you sign in by tapping a link sent to that email. You stay signed in for about a week before needing a fresh link.

Step 1
Open 4030.analyticgator.ai in any browser (phone or computer).
Step 2
Enter your email and tap Send sign-in link.
Step 3
Open the email and tap the link inside. The browser jumps you straight into the app.
Step 4
You'll see today's date, a question (What happened today?), and five tool cards.

Tool 1 — Add a note.

The catch-all. Use this for anything that's not specifically an appointment or medication: an observation, an instruction the doctor gave you, a status update on someone's recovery, a reminder to follow up on something. The system stores it under the person you pick, with the date it was logged.

Field 1 · Who is this about?
Pick from Pa, Ma, or Ricky. Required.
Field 2 · Note
The body of the note. Free text — write whatever fits.
Field 3 · Category
Observation (something you noticed), Instruction (doctor said to do this), Update (status changed), or Other.

Click Save note. The note is immediately visible to anyone who pulls up that person's records.

Tool 2 — Log an appointment.

Use this for any doctor visit, hospital stay, or scheduled medical event. Captures more structure than a note.

Field 1 · Who had the appointment?
Pa, Ma, or Ricky. Required.
Field 2 · Date & time
When the appointment happened (or is scheduled). Required.
Field 3 · Doctor / provider name
"Dr. Garcia," or however you'd refer to them naturally.
Field 4 · Specialty
"Cardiologist," "Eye doctor," "Primary care," whatever fits.
Field 5 · What happened or what was said
Free text. The summary of the visit.
Field 6 · Instructions given
Anything the doctor told you to do — medications to start, lifestyle changes, when to come back. Keep it actionable.
Field 7 · Follow-up needed?
Check the box if there's a return appointment. A date field appears for the follow-up date — fill it in if known.

Click Save appointment. The follow-up flag means it'll show up in the weekly digest as something the family should be aware of.

Tool 3 — Add a medication.

For new prescriptions or changes to existing ones. Captures the structured details that matter for refills and dosage.

Field 1 · Who takes this?
Pa, Ma, or Ricky. Required.
Field 2 · Medication name
"Lisinopril," "Metformin," etc. Required.
Field 3 · Dosage
"10mg," "500mg," etc.
Field 4 · Frequency
"Once daily in the morning," "Twice daily with food," etc.
Field 5 · Prescribed by
Doctor's name.
Field 6 · Next refill date
When the prescription needs to be refilled. The weekly digest will warn the family two weeks before this date.
Field 7 · Pharmacy
"CVS on Main St," etc.

Faster from your phone: Take a photo of the prescription label and text it to (989) 762-4030. The system reads the label and saves all these fields automatically. See the SMS guide.

Tool 4 — View records.

The read-only view of what's been saved. Pick a person and you'll see three sections, each as a list of cards:

Use this when you want to scan visually instead of asking a specific question. For specific lookups ("when is Pa's next refill?"), the SMS line is faster — text the question and get an answer in plain language.

Spanish view: Click ES in the top-right to switch the interface to Spanish. The records translate automatically — Mexican Spanish suitable for reading aloud to Ma or Pa. Doctor names, medication names, and pharmacy names stay as-is. Medical jargon translates to plain language ("BP" → "presión," "OR prep" → "preparación para cirugía").

Tool 5 — Manage family. (Coordinators only)

The Admin tab is hidden unless your role is coordinator. From here you can add, remove, or change roles for family members and care recipients.

Adding a family member

Step 1
Open the Admin tab.
Step 2
Click + Add a family member under "Family members."
Step 3
Enter their name, email, cell phone (E.164 format like +18175551234), and pick a role:
  • Coordinator — full access including archiving records and managing other members.
  • Contributor — can add notes, appointments, medications. Cannot archive or manage members.
  • Viewer — read-only.
Step 4
Click Add member. The system creates their account silently — no email is sent yet, but their phone number is registered, so they can text the care line immediately.
Step 5
If they ever want to use the web (instead of just SMS), they go to 4030.analyticgator.ai and request a sign-in link with their registered email.

Adding a care recipient

Step 1
Open the Admin tab, scroll to "Care recipients."
Step 2
Click + Add a care recipient.
Step 3
Enter name, relationship (grandfather, uncle, etc.), birth year (optional), and any context worth knowing. Save.

The new person appears immediately in the dropdown menus across all tabs — Note, Appointment, Medication, View. Family members can start logging updates about them right away.

Changing or removing members

Each row in the family members list has two buttons:

Switching language.

The ES button in the top right of any page switches you to the Spanish version. The English/Spanish split is purely UI — both versions read and write the same database. A note saved in English by Cousin #1 can be viewed in Spanish by Cousin #2.

Translation happens at view time, so it's always current with whatever the original contributor wrote. Doctor names, medication names, and pharmacies stay unchanged. Free-text notes and instructions translate cleanly to Mexican Spanish suitable for reading aloud to Ma or Pa.

Signing out.

You don't need to sign out manually — your session expires automatically after about a week of inactivity. If you want to sign out sooner (for example, on a borrowed computer), close the browser tab. The next time you visit, you'll be asked to sign in again.
